What to prepare for a celebration on a motorboat or yacht
Guests, food, decoration, filming and music all relate to the space on board. Gather your wishes in advance so the celebration can be agreed with the chosen vessel’s owner.

Create a short programme
Describe the occasion, guest numbers and main parts of the gathering: boarding, the trip, food, congratulations, filming and return. For each part, note what your group actually needs.
Clarify where guests and providers can be accommodated on the vessel, belongings left and equipment prepared. Photographs help you frame questions, but walkway dimensions and installation options should be confirmed separately.
Agree catering and table settings
When choosing catering, discuss the menu, number of portions, allergies and other guest restrictions. Ask about table settings, tableware, food storage and cleaning after the event.
If you want to bring food or drinks yourself, check the chosen vessel’s conditions beforehand. Do not treat the presence of a table as confirmation that any food can be cooked, reheated or stored on board.
Discuss decoration and equipment
Show the provider and owner your decoration wishes: flowers, textiles, lettering or other elements. Agree positioning, fixings, access time and removal. Walkways and boarding areas must remain accessible.
For music and a host, clarify technical needs, a suitable working area and volume conditions. Power supply and equipment positioning are resolved for the specific vessel.
Give the photographer and videographer a clear brief
Identify participants, key moments, the desired result and working duration. Agree filming times, the specialist’s boarding points and delivery of the finished material.
If guests will appear in the images, discuss filming and subsequent use of the material with them in advance. Publication conditions for photographs and video should be agreed separately from the specialist’s presence at the celebration.
Check the plan before confirmation
Bring your wishes together in one list: vessel, date, guests, route, catering, decoration, specialists and weather questions. In the additional services section, you can select the areas you need and send the choices with your enquiry.
After receiving the calculation, check the order contents, providers’ working hours and any outstanding questions. If conditions have changed, agree them before the event rather than relying on unconfirmed space or equipment.

Does ticking a service confirm its booking?
No. Ticking adds a wish to the enquiry. The provider, scope of work, price and availability must be agreed separately.
