Decide what the gathering is for
A team gathering might centre on conversation and a short group game; a meeting with partners may need a quieter setting. Allow time for arrival, the safety briefing, cruising, food and departure. Leave gaps for conversation and city views instead of filling every minute with activities.
Check the space before booking
Make an accurate headcount, including an invited host and photographer. Check permitted capacity, indoor space and dining seating. For presentations, microphones or music, confirm equipment, power and audibility while cruising. Also compare riverboats for a large banquet.
Agree catering and outside services
Choose a buffet or seated meal to suit the schedule and layout. Gather dietary requirements and agree portions, tableware and service. Suppliers need agreed delivery times, pier access and setup time. Add a tasting, workshop or photographer only after both the supplier and boat operator confirm the arrangements.
Assign the budget and responsibilities
Separate hire, extras and possible surcharges in the quote. Appoint one group coordinator and give everyone the exact pier and meeting time. Before paying, check weather changes, cancellation, late arrivals, headcount changes and the end of the trip. Going ashore or visiting a museum needs separate time and arrangements.
